General Regulations on Events

Version V2/2026 of 13/10/2026. Each Participant accepts the version in force at the time of registration. Earlier versions shall continue to apply to registrations made under them.

These Regulations are drafted in French and have been translated into English for information purposes. In the event of any discrepancy between the French version and the English version, the French version shall prevail.

The Société Française de Cosmétologie (“SFC”), an association governed by the French Law of 1 July 1901, registered in the National Associations Register (RNA) under number W922001007, whose registered office is at 210 boulevard Bineau, 92200 Neuilly-sur-Seine, organises scientific, institutional, professional or training events, in person or remotely, for its Members and, where applicable, a wider audience.

These General Regulations set out the rules common to all such Events and ensure their proper conduct, security and compliance with the principles of neutrality, ethics, transparency and professionalism that guide the SFC’s activities. Certain Events, in particular the International Symposium, are subject to Specific Conditions, which follow the General Regulations and form an integral part thereof.

Registration for an Event constitutes unreserved acceptance of the Regulations, by an unequivocal positive action that is not pre-ticked at the time of registration, together with acknowledgement of the general terms of use of the website, of the privacy policy (including the cookies policy) and, where applicable, of the specific terms applicable to the Event concerned. For a Speaker who is not registered and for the Corresponding Author of an Abstract, the specific acceptance arrangements are set out in Articles 9.1 and 10.2. These Regulations may be consulted on the Website.

Article 1 : Purpose and scope

Article 2 – Registration, payment, cancellation, withdrawal and refund

  • more than 30 days before the start of the Event: refund of the sum paid, less Administrative Fees of €50;
  • between 30 and 15 days before the start of the Event: refund of 50% of the sum paid, less bank charges;
  • less than 15 days before the start of the Event: no refund.

The Administrative Fees of €50 are charged per cancelled registration. This scale does not apply to the proper exercise of the right of withdrawal provided for in Article 2.6. Bank charges means only the charges actually incurred by the SFC in respect of the refund. No deduction is made where the right of withdrawal is exercised or where the Event is cancelled by the SFC.

a) Principle

Where registration is made remotely by a Consumer Participant, the Consumer Participant has a period of fourteen calendar days from the conclusion of the contract in which to withdraw, without having to give any reason or bear any penalty, under the conditions of the French Consumer Code. The right is exercised by an unequivocal statement addressed to the SFC by email to contact@sfcosmeto.fr or by registered letter to its registered office.

b) Refund

The SFC shall refund all sums paid without undue delay and no later than fourteen days from the date on which it is informed of the Consumer Participant’s decision to withdraw, using the means of payment used for the registration, unless the Consumer Participant expressly agrees otherwise

c) Early performance

Where the Event begins before the withdrawal period has expired, the Consumer Participant shall expressly request, by a positive action separate from acceptance of the Regulations and taken at the time of registration, that their participation begin before the end of that period. That request is necessary for the SFC to be able to admit them to the Event within that period.

d) Withdrawal after performance has begun

A Consumer Participant who exercises the right of withdrawal after the Event has begun but before it has ended shall pay the SFC an amount proportionate to the part of the service already provided up to the time they communicate their decision, in accordance with the law. The balance shall be refunded to them.

e) Loss of the right of withdrawal

Where the Event is fully performed before the withdrawal period has expired, a Consumer Participant who, at the time of registration and by an action separate from acceptance of the Regulations, requested early performance and acknowledged that they lose their right of withdrawal once the service has been fully performed, may no longer withdraw. In the absence of that request and acknowledgement, they retain their right of withdrawal and the SFC shall refund all sums paid in full.

f) Evidence

The SFC shall keep a record of the date and time of the request and of the acknowledgement by the Consumer Participant.

Article 3 – Access to Events, badges and access systems

Article 4 – Recording, image, voice, statements, materials and scientific content

4.3 Speakers

4.3 Speakers. The image, voice and statements of Speakers are recorded, disseminated and used only within the framework of the specific recording and use authorisation submitted to them. That authorisation is separate from the Regulations and from the rights in Abstracts, which are governed by Article 10.

Article 5 – Event privacy policy

This Article constitutes the privacy policy specific to SFC Events. For all processing that is not specific to Events (Website, member area, membership, cookies, newsletter) and for any further information, the SFC’s privacy policy, available on the Website, applies and remains in force.

  • Managing registration, payment, invoicing, reception, badges and access to the Event, including remotely: performance of the contract.
  • Verifying the rate category and supporting documents: performance of the contract.
  • Organising the scientific programme, processing Abstracts, publishing the name and affiliation of their authors with the Abstract under the conditions of Article 10.4 and, where the Event provides for it, transmitting the Abstract to the Publisher: performance of the contract and the SFC’s legitimate interest in organising and promoting its scientific activities.
  • Ensuring the security of the premises and of access and preventing fraudulent use or sharing of access: legitimate interest.
  • Documenting and reporting on the Event (Article 4.1): the Participant’s consent, given upon acceptance of the Regulations and capable of being withdrawn under the conditions of Article 4.2. The recording of the image, voice and statements of Speakers is based on their specific authorisation.
  • Complying with accounting, tax and legal obligations: legal obligation.
  • Informing the Participant of future Events or other communications: separate positive choice by the Participant, unrelated to registration for the newsletter.

5.5 Transfers outside the European Economic Area

Where a Service Provider, the Publisher or another recipient is established outside the European Economic Area, the transfer is governed by the safeguards provided for by Regulation (EU) 2016/679 (GDPR) (adequacy decision, standard contractual clauses or other safeguard under Articles 44 et seq.). Further information may be requested from the data protection officer..

  • Registration and participation data, Members and non-Members: three years from the end of the Event. Membership status does not extend this period.
    Reduced-rate supporting documents: deletion upon validation and, at the latest, within thirty days.
  • Special requirements (accessibility, dietary): deletion as soon as they are no longer necessary for the organisation of the Event and, in principle, no later than after it has been held.
  • Badges and access control: data specific to access control and badge scans are kept for the duration of the Event, then deleted or anonymised as soon as possible and, at the latest, within thirty days following the end of the Event. Participants’ identity and the history of their registration and participation form part of the registration and participation data and are retained under the conditions set out above.
  • Payment records and references: thirteen months from the debit date, extended to fifteen months for a deferred-debit card. Full card data are not retained by the SFC.
  • Accounting records: ten years from the close of the financial year concerned.
  • Evidence of acceptance of the Regulations and applicable conditions: for the duration of the relationship concerned, then intermediate archiving for five years.
  • Photographs and videos: for the period necessary for the purpose and within the limits of the rights granted; in principle five years.
  • Abstracts and their authors’ data: for the duration of the rights granted under Article 10.4, then archiving of evidence of those rights for as long as necessary for the establishment, exercise or defence of the SFC’s rights.
  • Speakers’ presentation materials: for the duration of the specific authorisation.

At the end of these periods, the data are deleted or anonymised, subject to intermediate archiving with restricted access, limited to what is necessary to comply with a legal obligation, establish evidence or defend a right.

Article 6 – Liability

Article 7 – ForForce Majeure, cancellation, postponement, interruption

  • cancel the Event; registration fees are then refunded in full within a maximum of sixty days from notification of the cancellation;
  • postpone the Event within a maximum of six months for an annual Event or twelve months for a biennial Event; the registration is transferred to the new dates, unless a refund is expressly requested within thirty days of notification of the postponement;
  • interrupt the Event in progress; in respect of Professional Participants, the refund may then be limited pro rata to the unperformed duration, after deduction of the costs directly incurred for the organisation.

Article 8 – Conduct, compliance, ethics

Article 9 – Speakers and Sponsors

The provisions of Article 2 relating to registration, payment, cancellation and withdrawal apply only to a registered Speaker who is liable for registration fees; the arrangements for the participation of Keynote speakers and invited Speakers, in particular the coverage of their expenses, are governed by a separate written agreement with the SFC. The other provisions of the Regulations apply to all Speakers, in particular those relating to access, recording, personal data, liability and conduct.

Article 10 – Abstracts

The SFC keeps, as evidence, the version of the Regulations accepted, the email or signed form recording acceptance and its date, the identity of the Corresponding Author and the version of the Abstract filed. Abstracts received before this version was put online shall be regularised: the SFC sends the Regulations to the Corresponding Author and asks them to confirm their agreement in writing within a period it specifies. Failing confirmation, the SFC reserves the right not to select the Abstract.

The Corresponding Author declares and warrants:

  • that the Abstract is original and that they hold or have obtained the rights necessary to submit it and to grant the rights provided for in Article 10.4;
  • that they act with the agreement of all co-authors, from whom they have obtained authorisation to accept the Regulations on their behalf and whom they have informed of the processing of their data;
  • that the Abstract does not infringe any third-party right (copyright, trade mark, trade secret, image rights, personal data) and does not disclose any confidential information that they are not free to disclose;
  • that the employers, funders or institutions concerned have, where applicable, given their consent to the submission.

The Corresponding Author remains the holder of their rights in the Abstract. They shall indemnify the SFC against any third-party claim based on a breach of these declarations, within the limits of the law.

  • in the Event booklet, in printed and digital versions;
  • on the Website, in the Event section;
  • in a directory or summary of the Event’s papers maintained by the SFC.

These rights are granted worldwide and for a period of five years from the Event. The Abstract is reproduced under its authors’ names and without substantive modification; the SFC may adapt its layout and correct clerical errors. On expiry of that period, the SFC shall withdraw the Abstract from its online media, without being obliged to recall printed copies already distributed; the archiving of evidence of the rights granted is governed by Article 5.6. The Abstract shall not be used for any purpose other than those set out above without the author’s fresh agreement. The grant of rights does not constitute a transfer of ownership or an authorisation to use the author’s image, voice or statements, which fall under the specific recording and use authorisation. Abstracts that are not selected shall be used by the SFC solely for the purposes of their evaluation, management of the procedure and evidence, and shall not be disseminated in any way.

a) Permitted use and responsibility

The use of generative artificial intelligence tools to prepare or draft an Abstract is permitted, provided that this Article is complied with. The Corresponding Author remains solely and fully responsible for the Abstract submitted and for all consequences of such use, whatever the tool used and the proportion of the content it generated.

b) Originality and accuracy

The Corresponding Author shall ensure that the Abstract is original, that its content is accurate and faithful to the work presented, and that they have personally verified the data, references and citations, including those suggested by the tool. An artificial intelligence tool may not be named as an author.

c) Rights

The Corresponding Author shall ensure that they hold the necessary rights in the Abstract and are free to dispose of it, including for elements generated with the tool, and that the tool’s terms of use do not prevent them from doing so. They shall also ensure that they have obtained the rights and authorisations of third parties for any protected element (texts, illustrations, data, works) used, reproduced or reconstituted in the Abstract, in accordance with Article 10.3.

d) Confidentiality

The Corresponding Author shall not submit to an artificial intelligence tool any confidential data, trade secret, personal data or content belonging to a third party, unless the tool guarantees confidentiality and the author is authorised to do so.

e) Indemnity

Any third-party claim arising from the use of an artificial intelligence tool falls under the indemnity provided for in Article 10.3

f) Power to reject an Abstract

The SFC may reject an Abstract whose originality, accuracy or compliance with third-party rights does not appear to it to be sufficiently established. It shall not disclose the content of Abstracts not selected.

Article 11 – Miscellaneous

11.3 Severability and non-waiver

If any provision is held to be void or unenforceable, the others shall remain in force. The SFC’s failure to rely on a provision at any given time does not constitute a waiver of its right to rely on it subsequently.
