Terms and Conditions of Events
Disclaimer non-official translation: This English version is provided for convenience only. In case of discrepancy or divergence of interpretation, the French version (“Règlement des Événements de la Société Française de Cosmétologie”) shall prevail and apply.
Preamble
The French Society of Cosmetology (hereinafter the “SFC”), an association governed by the law of 1 July 1901, registered under RNA no. W922001007 and whose registered office is located at 210 boulevard Bineau – 92200 Neuilly-sur-Seine, organizes scientific, institutional, professional, or training events, in person or remotely, for its members and, where applicable, for a wider audience.
These Terms and Conditions of Events (hereinafter the “Rules”) govern the conditions of organization and participation in such events, ensuring their smooth running, safety, and compliance with the principles of neutrality, ethics, transparency, and professionalism that guide the SFC’s activities.
Registration for an Event constitutes unreserved acceptance of these Rules by means of a positive action (a non-pre-checked online checkbox), as well as acknowledgment of the Website General Terms of Use, the Privacy Policy (including the cookie policy), and, where applicable, the specific conditions of the Event concerned.
The SFC may amend these Rules to reflect changes in its activities or legal obligations; the updated version applies from the date of online publication, without prejudice to specific notifications sent to participants where substantial changes occur after registration.
Definitions
For the purposes of these Rules, the following terms shall have the following meanings:
- “Participant”: any natural or legal person registered for or invited to an Event organized by the SFC, including, without limitation, visitors, attendees, speakers, exhibitors, sponsors, contractors, journalists, and any person authorized to access the Event.
- “Event”: any scientific, institutional, professional, or training event organized by the SFC, held in person or remotely (including digital formats, online platforms, or equivalent systems).
- “Specific Event”: a particular edition of an Event organized by the SFC on a specific date and at a specific venue, including virtual versions where applicable.
- “Website”: the official SFC website (www.sfcosmeto.fr) and any other website or digital platform provided for Event registration, participation, or follow-up.
- “SFC”: the French Society of Cosmetology, an association governed by the law of 1 July 1901, represented by its President, with registered office at 210 boulevard Bineau –92200 Neuilly-sur-Seine.
- “Service Provider”: any natural or legal person appointed or engaged by the SFC to provide services related to the organization of the Event (accommodation, ticketing, catering, technical services, logistics, security, digital platforms, etc.), acting as a Processor within the meaning of the GDPR where services involve personal data processing.
- “Processor”: any Service Provider within the meaning of Article 28 GDPR entrusted by the SFC with processing personal data in connection with the organization of the Event.
- “Personal Data”: any information relating to an identified or identifiable natural person, collected and processed by the SFC in connection with Event registration, participation, and follow-up, in compliance with the GDPR and French data protection law.
- “Force Majeure”: any unforeseeable, irresistible, and external event within the meaning of Article 1218 of the French Civil Code that makes it impossible to organize or continue the Event (e.g., natural disaster, fire, pandemic, administrative decision, general strike, terrorist threat).
- “Contractual Documentation”: the set of documents comprising these Rules, the General Terms of Use (GTU), the General Terms of Membership (GTM), the SFC Privacy and Cookie Policies, and any documents provided by the SFC to Participants in connection with the Event.
Article 1: Purpose and scope
These Rules define the general conditions applicable to the organization of and participation in Events organized by the French Society of Cosmetology (hereinafter “SFC”), an association governed by the law of July 1, 1901.
It applies to all participants, whether they are members or non-members of the SFC, as well as speakers, exhibitors and partners taking part in the event.
Registration for an Event implies full and unreserved acceptance of these Rules, the General Terms of Use of the SFC Website (GTU), together with the Privacy Policy available online.
Article 2: Registration, payment and cancellation
2.1 Registration
Registration for an Event is done exclusively via the SFC Website or by any other means expressly indicated in the Event documentation. It is only considered final after:
- Validation by the SFC, materialized by the sending of a written confirmation;
- Full payment of the registration fee within the set deadlines.
2.2 Payment methods
The registration fee is paid in euros, including all taxes. The accepted means of payment are: credit card via a secure platform, bank transfer, or any other method expressly provided for by the SFC. The corresponding invoices are issued and sent electronically, in accordance with legal and accounting obligations.
2.3 Payment security
Credit card payment is processed by an approved payment service provider in accordance with applicable security standards. The SFC does not store the Participants’ bank data, which are managed by the service provider acting as a separate data controller.
2.4 Authentication and Disputes
Strong authentication may be required. In case of rejection or payment failure, the registration will be suspended or cancelled. Any bank dispute may result in suspension of access to the Event and re-invoicing of the corresponding fees.
2.5 Cancellation and Withdrawal
Any cancellation notified in writing will result in a refund according to the following scale:
- More than 30 days before the Event: full refund, minus €50 administrative fee deducted;
- Between 30 and 15 days: 50% refund;
- Less than 15 days: no refund.
Substitution by another Participant is permitted upon prior notification and acceptance by the SFC.
2.6 Right of withdrawal (online registrations).
When registration for an Event is carried out remotely by a consumer within the meaning of the Consumer Code, the consumer has a right of withdrawal of fourteen (14) calendar days from the confirmation of their registration, without having to justify reasons or bear penalties. However, in accordance with Article L.221-28 of the Consumer Code, this right cannot be exercised when the Event is scheduled for a specific date or at a specific frequency and the service is fully performed before the end of the withdrawal period, or when the Participant has expressly waived this right when registering.
The right of withdrawal is exercised by written notification addressed to the SFC (by email at contact@sfcosmeto.fr or by registered mail to the registered office).
The SFC will then reimburse the sums paid within a maximum period of fourteen (14) days from receipt of the request, by the same means of payment as that used for registration, unless otherwise expressly agreed by the Participant.
2.7 Additional Fees
Any bank fees, exchange fees or commissions related to the payment remain the sole responsibility of the Participant.
2.8 Refunds
Refunds approved pursuant to the provisions of these Rules shall, where technically possible, be made via the same means of payment as that used for registration. Bank recredit timelines do not depend on the SFC.
2.9 Fraud Prevention
The SFC and/or its payment provider may implement security controls, either automated or manual, to prevent fraud. These checks may result in a transaction refusal, a request for additional information or a deferral of payment.
2.10 Change of payment service provider
The SFC reserves the right to modify or replace its payment service provider, without altering the guarantees of security and confidentiality. Any changes will be brought to the attention of the Participants by updating these Rules.
The SFC may consider as a tacit withdrawal:
- The absence of the Participant on the opening day of the Event or at the first scheduled session,
- Failure to pay the full registration fee before the start of the Event,
- The provision of inaccurate or incomplete information during registration, resulting in the impossibility of participating.
In these cases, the SFC may freely dispose of the space thus freed up, without the Participant being able to claim any compensation or reimbursement.
Article 3: Access to Events and badges
3.1 Conditions of access
Access to the Events is strictly reserved for Participants who are regularly registered and up to date with their payment. Each Participant must present a name badge or any proof of registration issued by the SFC. These documents are personal, non-transferable and may not be loaned, reproduced or resold.
The SFC reserves the right to verify the identity of the Participants at any time by presenting an official photo ID. In the event of a discrepancy or no-show, access may be refused without compensation.
3.2 Lost or forgotten badges
In case of loss or forgetfulness, the Participant must go to the Event reception desk. A duplicate may be issued, if necessary for an administrative fee, subject to verification of his identity. The SFC may deactivate any badge that is lost or used fraudulently.
3.3 bis Badge data
The information collected for the edition and delivery of badges is limited to the data strictly necessary for the identification and access control of Participants. This data is kept only for the duration of the Event and deleted or anonymised at the end of the event, unless there is a longer legal obligation to keep it.
3.4 Security Controls
For safety and security reasons, the SFC and its service providers are authorised to carry out checks at the entrance and within the Event grounds, including visual inspection of bags, verification of objects and access screening. Refusal to submit to these controls will result in a ban on access to the Event without the possibility of refund.
3.5 Badge Removal or Deactivation
Any breach of these Rules may result in the immediate deactivation or withdrawal of the badge, without refund or compensation, and the exclusion of the Participant from the Event.
Article 4: Capture of images and recordings
4.1 Authorization of recording by the SFC
By participating in the Event, each Participant, acting in his or her own name and, where applicable, in the name and on behalf of the organization he or she represents, authorizes the SFC, on a non-exclusive and free basis, for a period of five (5) years from the recording and for the whole world, to:
- Fix, reproduce, represent and disseminate their image, voice and words, in whole or in part, on all material or immaterial media, known or unknown to date (paper publications, audiovisual media, digital platforms, social networks, websites, newsletters, reports, proceedings, educational or scientific materials);
- Retransmit these recordings live or deferred, in particular by online broadcasting (streaming, webinar, videoconference) or by any other technical process;
- Adapt these recordings for technical or editorial reasons (editing, translation, subtitling, cutting, integration into a composite medium), provided that they do not distort the remarks or undermine the dignity or reputation of the Participant or the organization represented.
4.2 Exclusions
The following are expressly excluded from this authorisation:
- any use for commercial, advertising or commercial purposes,
- any transfer to third parties outside the scientific, institutional or educational framework defined by the SFC, without the prior written consent of the Participant (or the organisation he represents).
4.3 Materials provided by the Participants
When the Participant provides materials (presentations, visuals, publications), they may be reproduced solely to illustrate his or her intervention in the context of the Event, to the exclusion of any independent exploitation. The Participant guarantees the SFC that he or she has the necessary rights on these materials.
4.4 Opposition of the Participants
The Participant may, for legitimate reasons, oppose the use of his or her image or that of the organization he or she represents. This objection must be notified in writing to the Data Protection Officer (rgpd@sfcosmeto.fr) at the latest before the start of the Event.
4.5 Recordings by the Participants
It is strictly forbidden for any Participant to photograph, film, record or retransmit all or part of the Event without the prior written permission of the SFC. All requests must be made at least fifteen (15) days before the start of the Event. The SFC reserves the right to seize, delete or block any recording made in violation of this prohibition.
Article 5: Protection of personal data and cookies
The French Society of Cosmetology (SFC), an association under the law of 1901, represented by its President, acts as data controller of the data collected in the context of membership, use of the www.sfcosmeto.fr website, registration and participation in events.
Personal data is processed in accordance with Regulation (EU) 2016/679 (GDPR), Law No. 78-17 of 6 January 1978 as amended and the SFC Privacy Policy, accessible at any time.
Each User, Member or Participant has the rights of access, rectification, erasure, limitation, opposition and portability of his or her data, as well as the right to define directives on their fate after death. These rights can be exercised by writing to: rgpd@sfcosmeto.fr or to the postal address of the SFC’s head office.

Article 6: Responsibilities
6.1 Responsibility of the SFC
The SFC implements all reasonable means to ensure the safety of the Participants, the scientific and institutional quality of the content and the smooth running of the Events. However, it cannot be held liable in the event of:
- Occurrence of a case of force majeure or circumstances beyond its control (strikes, natural disasters, administrative decisions, pandemics, travel restrictions, etc.);
- Loss, theft, damage or destruction of Participants’ personal belongings, including within the Event Premises;
- Fraudulent, abusive or unlawful use by a third party of the data posted online or transmitted by the Participants;
- Indirect, immaterial or consequential damages, such as loss of opportunity, loss of profit, loss of goodwill, commercial disturbance, damage to image or loss of data.
The financial liability of the SFC for all causes is expressly limited to the total amount of the registration fees actually collected for participation in the respective Event, except in the case of gross negligence or wilful misconduct on the part of the SFC.
6.2 Responsibility of the Participant
The Participant remains solely responsible for:
- its conduct and any violation of applicable laws, regulations or safety rules;
- damage to persons, property or facilities provided by SFC or its service providers;
- the content, media or information that it disseminates or presents during the Event, and its compliance with the rights of third parties (copyright, image rights, trademarks, trade secrets, etc.);
- the acts, omissions or omissions of any person for whom it mandates or places under its responsibility (employees, stakeholders, service providers, subcontractors).
The Participant guarantees and indemnifies the SFC against any recourse, claim or action of a third party resulting from its own acts or those of the persons under its responsibility.
6.3 Disclaimers of warranties
The Participant expressly acknowledges that SFC cannot guarantee:
- a minimum number of registrations or visitors;
- a scientific, institutional, commercial or relational result;
- the uninterrupted continuity of the digital services used in the context of the Events (registration platforms, videoconferencing tools, online broadcasting, etc.).
6.4 Personal Belongings and Security
The personal belongings of the Participants (bags, computers, telephones, various equipment) remain under their custody and full responsibility. The SFC declines all responsibility in the event of loss, theft, forgetfulness, deterioration or abandonment of personal belongings within the Event grounds.
The SFC and its service providers are authorised to carry out security checks, including visual inspection of bags and access control, without any compensation being claimed.
Article 7: Force majeure and cancellation by the SFC
7.1 Definition of force majeure
Cases of force majeure, within the meaning of Article 1218 of the Civil Code, constitute any unforeseeable, irresistible and external event that makes it impossible to organize or continue the Event. In particular, the following are considered to be cases of force majeure: natural disasters, fires, strikes, epidemics or pandemics, administrative decisions, restrictions on movement or access, interruptions of communication networks, acts of terrorism, armed conflicts or any other event with the same characteristics.
7.2 Consequences
In the event of the occurrence of a case of force majeure, the SFC reserves the right:
- to cancel the Event, in which case the registration fees collected will be fully refunded to the Participant within a maximum period of sixty (60) days from the notification of the cancellation, without any other compensation being claimed;
- to postpone the Event to a later date, within a maximum period of six (6) months for an Annual Event or twelve (12) months for a biennial Event. The Participant’s registration will be automatically transferred to the new dates, unless the Participant expressly requests a refund within thirty (30) days of notification of the postponement;
- to interrupt the Event in progress, in which case the SFC may limit the reimbursement of the registration fees pro rata temporis of the unperformed portion, after deduction of the costs directly incurred for the organization.
7.3 Limitation of Liability
In the event of cancellation, postponement or interruption due to force majeure, the SFC’s liability is strictly limited to the reimbursement of the registration fees collected under the conditions set out in this article. No other compensation, of any kind whatsoever (damages, loss of opportunity, loss of profit, costs incurred, damage to image), may be claimed by the Participant.
7.4 Notification
Any decision to cancel, postpone or interrupt the Event will be notified to the Participants by the SFC as soon as possible, by any means deemed appropriate (email, publication on the SFC Website, communication via the official networks of the association).
7.5 Ancillary costs
In the event of cancellation, postponement or interruption of the Event due to force majeure, the SFC does not reimburse any additional costs incurred by the Participants (transport, accommodation, catering, insurance, etc.), which remain at their sole expense.
Article 8: Compliance and ethics
8.1 Compliance with Laws and Regulations
The Participants undertake to respect, throughout the duration of the Event, all applicable laws, regulations and standards, both national and international, as well as the rules, instructions and safety protocols issued by the SFC and its service providers.
8.2 Anti-corruption and international compliance
Each Participant guarantees that its participation complies with the legislation on the fight against corruption, influence peddling, money laundering, terrorist financing and compliance with the economic and trade sanctions regimes issued by the competent authorities (national, European and international).
8.3 Political, religious and ideological neutrality
Participants are prohibited from holding, disseminating or promoting, within the framework of the Event, any message, remark or behaviour of a political, religious, ideological nature or contrary to good morals and public order.
8.4 Specific prohibitions
In particular, the following are prohibited within the Event:
- Leafleting, distribution of leaflets, canvassing or any unauthorised advertising not authorised by the SFC;
- The use, without the prior written permission of the SFC, of the name, logo or any distinctive sign of the association, including for promotional purposes (“greenwashing” or misleading corporate communication);
- Demonstrations, slogans or behaviours of a political, ideological, trade union or religious nature;
- Access as a press without prior accreditation and without presentation of the required supporting documents (press card, editorial certificate, etc.)
8.5 Penalties
SFC reserves the right to immediately exclude, without refund or compensation, any Participant who contravenes the obligations set out in this article. This exclusion may be notified orally on the spot and then confirmed in writing, without prejudice to any legal or disciplinary recourse that the SFC may take against the Participant or the organisation it represents.
Article 9: Miscellaneous provisions
9.1 Electronic signature and evidentiary admissibility
Any electronic signature or any dematerialized document produced by the SFC in the context of the organization of the Event is recognized as having the same probative value as a written document on paper, in accordance with articles 1366 et seq. of the Civil Code.
9.2 Severability of Clauses
If any provision of these Rules is declared invalid, illegal or unenforceable by a competent court, such provision shall be deemed unwritten, without affecting the validity and enforceability of the remaining provisions.
9.3 Entire Contractual Agreement
These Rules, together with the SFC’s Statutes, Rules of Procedure, Terms and Conditions of Use, General Terms and Conditions of Membership and Privacy and Cookie Policies, constitute the entire contractual agreement between the Parties regarding participation in the Event. It takes precedence over any previous or contradictory document.
9.4 Non-waiver
The fact that SFC does not avail itself, at a given time, of any of the provisions of these Rules shall not be interpreted as a waiver of the right to avail itself of them at a later date.
9.5 Survival of certain stipulations
Confidentiality, intellectual property, liability, personal data protection, and compliance provisions survive the expiration or termination of the Event.
9.6 Amendments
The SFC reserves the right to modify these Rules, including during the Event, by publishing their updated version on its Website. Participants are deemed to have accepted these changes as long as they continue to participate in the Event.
9.7 Notification of Changes
Any substantial changes to these Rules will be notified to the Participants by email and/or publication on the SFC Website. The enforceable version is the one in force on the date of the Event.
9.8 Mediation
In the event of a dispute relating to these Rules, the Participant, after prior written approach to the SFC that has remained unsuccessful, has the right to refer the matter free of charge to the competent mediator in accordance with the provisions of Articles L. 612-1 et seq. of the Consumer Code. The contact details of the mediator are provided on request.
9.9 Jurisdiction
Any dispute relating to the interpretation or execution of these Rules, not resolved amicably or through mediation, falls under the exclusive jurisdiction of the courts within the jurisdiction of the SFC’s registered office, namely the Paris Judicial Court, unless there are mandatory rules of jurisdiction to the contrary.
9.10 Governing Law
These Terms and Conditions of Events are governed by French law.
In the event of a dispute relating to their validity, interpretation or execution, exclusive jurisdiction is conferred on the courts within the jurisdiction of the Paris Court of Appeal, unless mandatory rules of jurisdiction of public policy to the contrary, in particular those applicable to consumers.
